Check-in before noon requires payment for the previous night. You are most welcome to drop your bags off from 10 AM free of charge if arrange in advance.

We reserve the right to refuse check-in after 9 PM. If you haven’t arrived or contacted us by 9 PM, you will be considered a 'no show' and your booking will be cancelled. Your room will be released and may be rebooked by another guest. No refund will be due in these circumstances.

Cancellation Policies:-

Best Flexible Rate: Cancel up to 4 days before your stay (5 days if booked via a 3rd party) and receive a refund minus a £5 admin fee. Cancellations after this time incur the full stay cost. If we re-sell your booking, we'll refund the resale amount minus a 5% admin fee. No refund is due for booking reductions after arrival.

Advance Purchase Saver Rates: Cancellations or modifications are not permitted. In the event of cancellation or non-arrival you will be charged for the full stay.

Terms & Conditions

By booking a room at Springfield House B&B, you are agreeing that you and all members of your party agree to and are bound by the Terms & Conditions detailed below. Your reservation is made with the operating company, Springfield House (Coleshill) Ltd and represents a legally binding contract between you and Springfield House B&B. Please note, if you have made your booking via a third party website (e.g, booking com, Expedia, Agoda etc), your contract of booking is with us and not them and therefore our detailed Terms & Conditions published on our own website (www.springfieldhousebnb.co.uk) will take precedence and you are bound by these automatically. You will also be sent a link to them in full in our own confirmation email. Should you not wish to be bound by these Terms & Conditions, you have a four hour window in which to cancel your booking free of charge without any penalty. Please note, the cheapest deal will always be found on our own website NOT via a third party booking website.

Please read these terms and conditions carefully, they tell you who we are, how we will provide services to you, how we may change or end the contract, what to do if there is a problem and other important information.

1. Prices

We operate a dynamic pricing system which means our room prices are "fluid" and can vary according to demand and will be for either single, double or triple occupancy, depending on the room. All prices are correct and subject to availability at the time of booking. Prices may change at any time without prior warning or notice but cannot be amended once booked. Please note that the best price is ALWAYS available via our own website via our Price Guarantee. Any prices quoted on our website are a guide only. To view the exact price per room per night, press "Book Now" on any page and input your dates into our live availability booking system. The prices advertised for room reservations include accommodation as described on our website and breakfast. No refund/discount will be given if breakfast is not taken, for whatever reason.

We will not be beaten on price or the deals we offer via any third party website - guaranteed. Please call or email us if you think you have found a better deal elsewhere.

Advance Purchase Saver Rates

To reward those who book early and pay in advance from time to time we offer a discount rate. This rate cannot be cancelled or changed and is non-refundable with payment taken at time of booking. This also applies to all Stay, Park & Fly packages. We would recommend that you take out holiday insurance to cover you in the event of a cancellation.

2. Payment methods

If you have not paid for your room and any extras added to your booking in full at the time you make your reservation, you will need to pay at least 4 days before arrival.

Payment may be made by cash (with advance notice and card details to secure your booking), BACS, credit/debit card (Visa, MasterCard, American Express, Maestro and Electron). The expiry date of your debit/credit card must be later than the end of your stay. In some circumstances, i.e. foreign credit/debit cards or corporate cards with high processing charges which we can not absorb, we may impose a process fee of 2.5-3.5%. We do not accept personal cheques.

For guests who arrive and book in person for the same day, full payment will be taken up front. If paying in cash, a pre-authorisation will still be taken on a credit card and additional ID may be required and a copy held on file.

For security purposes, you will be required to show the payment card used to place your booking upon check in. If the same card cannot be presented on arrival, we may need to refund the original charge and re-take the booking charges from a new card.

We reserve the right to charge your card as detailed in our cancellation policy in the event of a no-show or should the booking be cancelled by you within four days of check in or for any damages caused by you. By entering into this contract you are authorising us to make these charges without additional consent being required.

3. Booking and Cancellation

We will secure your booking with us by collecting full payment at the point of booking and the cancellation/refund policy of the rate you have chosen will apply.

After booking you will receive email confirmation of your booking, if you haven't received that within an hour please contact us. Please check this carefully – it is your responsibility to contact us immediately if any details are incorrect. We are not responsible for any details you have omitted to tell us and not bound to keep your booking if our property is not suitable for you (eg you arrive with a dog, or a child under 12 years old, wanting a specific room or can't manage the stairs). For the avoidance of doubt, no refund will be due or given in these circumstances. While we try to ensure the specific room booked is available, however, Springfield House reserves the right to alter the room on a like for like basis if required. If you require a specific room (eg. twin room) this must be confirmed at the time of booking.

If you need to cancel your stay with us please contact us as soon as possible. We are a small business, so cancellations can have a big impact on us, especially if we have turned away potential guests in favour of someone who has already booked and who then cancels. We do, however, appreciate that unforeseen circumstances can intervene and we try to be as sympathetic and helpful as possible in such cases.

For cancellations of your reservations made up to 4 days before your stay (5 days if booked via a 3rd party booking site), we will refund any payment that you have paid, save for a £5 administration fee. For cancellations made after this time you will be liable for the full cost of your stay. We will always do our best to re-sell your booking and where we succeed we will refund the amount we sell the room for to you minus the equivalent of 5% of the booking cost, as a refund administration fee. In the event of a booking reduction (after arrival date) no refund will be due.

The Advance Purchase Saver Rates cannot be cancelled or changed and are non-refundable under any circumstances.

Stay, Park & Fly rates are for one night's stay (including breakfast) and parking inclusive of VAT. No amendments can be made to Stay, Park & Fly bookings. In the event of cancellation, no refunds will be given and a cancellation charge equivalent to the advertised rate will apply.

Payment for Stay, Park & Fly bookings will be taken at the time of booking. To ensure a smooth experience, please ensure you have provided your car and flight details to us.

We strongly advise our guests to take out suitable holiday cancellation insurance to cover their stay for any unforeseen circumstances.

No shows

We reserve the right to refuse check-in after 9 PM. If you have not arrived before 9 PM and do not contact us before then, you will be deemed to be a ‘no show’ and your booking will be cancelled. Accordingly, your room will be released for the duration of your stay and may be booked by another guest. For the avoidance of doubt, no refund will be due or given in these circumstances.

Group booking

If you’ve made a group booking, our payment and cancellation terms are as follows:

For 3 rooms or fewer, we’ll need full payment 14 days before arrival. This is non-refundable, but you can cancel your booking free of charge if you do so before this time.

For 4 rooms or more, we’ll need a 50% deposit at the time of booking and the balance 28 days before arrival, these payments are non-refundable, we also reserve the right to take full payment at the time of booking.

For group bookings, we reserve the right to request a refundable deposit of £500, should any additional cleaning be necessary then you will be charged a deep cleaning fee of £150. Any breakages, damage, stained/soiled linen and/or excess cleaning items are to be paid from the deposit. This includes (but is not limited to) excessive rubbish left inside the room or excessively dirty room, vomit or wine stains.

Where you cancel (including any “no show”) a group booking and there is a non-refundable payment retained by us, this total amount is a cancellation charge to compensate Springfield House for the cancellation and is not for any service.

You are not entitled to cancel or withdraw from your reservation under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

Non-availability of accommodation

We would only cancel your booking if your accommodation was unavailable for reasons beyond our control. We would, however, attempt to offer you alternative accommodation of a similar standard. If this was not possible, or unacceptable to you, then we would refund the monies paid by you for your accommodation only. Springfield House’s liability would not extend beyond this refund.

Security

In the interests of security and the prevention of fraud, we will ask you to confirm your identity by providing your passport, driving license or other form of photo ID upon check-in.

Guests travelling from outside the UKIf you are travelling from outside the UK, we are required by law to ask for your passport and the place of your next destination at the time of check-in. If you do not have your passport, we reserve the right not to honour your reservation. We will retain this record for a period of 12 months and we may disclose this to a police officer or other official as required by law. We are required to collect this information in relation to each member of your party over the age of 16 and we reserve the right to refuse entry to Springfield House to anyone who is unable to provide this information.

4. Insurance

It is your responsibility to ensure that any travel insurance cover you have provides adequate cover for your needs and for the duration of your stay. If you cancel your booking, you will be asked to contact your insurance provider so please ensure you have some in place.

5. Arrival and departure

Check-in is between 4pm and 9pm. We will do our best to meet guests needs and arrange check-in outside of these times but this must be arranged in advance. Check out is by 10am on the day of your departure.

A £25 charge applies* for check in/out outside of our normal hours;

Early Check-In - allows you to check in from 12 noon (normally 4pm)

Late Check-In - allows you to check up until 12 midnight (normally 9pm)

Late Check-Out - allows you to check out up until 12 noon (normally 10am)

*These MUST be agreed in advance (subject to availability) if not, an UNAUTHORISED late check in fee of £50 will apply payable in cash or by bank transfer.Check-in before noon requires payment for the previous night. You are most welcome to drop your bags off from 10am free of charge if arrange in advance. Check out is by 10am on the day of your departure.

6. Occupancy

The maximum room occupancy is two adults. Family rooms can accommodate three adults or one adult and two children (over the age of 12). You must not exceed the maximum occupancy for the room allocated to you. We reserve the right to conduct checks on occupancy. Occupancy is not transferable. Those under 18 years old are not permitted to stay in a Springfield House unless a parent or guardian is also staying with us. We reserve the right to request valid photographic proof of identity and age, so please bring this with you and ensure all guests under your booking bring identification, otherwise where requested you and/or your guests will not be permitted to stay.

7. Children

We are sorry but we do not accept bookings for children under 12 years of age. We do not offer discounted rates for guests under the age of 18 years. We do not permit people under the age of 18 to stay in Springfield House alone. You must not leave under 18s unattended in any rooms or public areas at any times.

8. Damages and Breakages

By making a booking you are accepting responsibility for any damage or loss caused by yourself or a member of your party. Full payment for any such damage or loss must be paid upon demand. If you fail to do so, you will be responsible for meeting any claims subsequently made (together with our own and the other party’s full legal costs) as a result of your actions. Any issue caused by you, whether accidental or on purpose which restricts our ability to re-sell your bedroom on future dates may be liable to compensation to be paid to us. Please report any spills, damages or breakages as soon as they occur – it’s much easier to clean if we know what it is and act quickly. Any breakages, damage, stained/soiled linen and/or excess cleaning items are to be paid for and will be taken from the card presented at time of booking. This includes (but is not limited to) excessive rubbish left inside the room or excessively dirty room, vomit or wine stains. Should any additional cleaning be necessary then you will be charged a deep cleaning fee of £150.

All room keys must be returned to us on check-out. If you don’t return your key a charge of £50 will be levied to you for a replacement key or lock as required.

9. Lost Property

We are happy to return items that have been left following departure, however, it is your responsibility to contact us should you think you may have left an item behind. Any lost property items will be disposed of at the end of the subsequent month after which the visit took place. Should you wish an item to be returned to you, a service charge of £10 will be charged in addition to the cost of postage and packaging (usually payable by BACS). Items sent will be by the cheapest method available. Should you require a particular courier or insurance level, please advise us. We hold no responsibility for the loss or damage of your item whilst in transit. You are of course, welcome to send us a stamped self-addressed envelope for us to return your items or arrange a suitable time to collect them in person or a courier collection.

10. Disabled Access

Sadly we can not accommodate guests who are not able to manage stairs comfortably, as currently all our bedrooms are on the first floor and there is no lift or the cellar room which has stairs in the entrance.

11. Smoking

UK legislation provides that smoking is not permitted in B&B accommodation. Smokers must vacate the building should they wish to smoke. Smoking is ONLY permitted in the patio area near the garage. Where there is any evidence of guests smoking inside the building, (including cigarettes, e-cigarettes, cigars and any other substances) we reserve the right to charge for specialist cleaning, as an Additional Charge. This may require the specialist use of an ozone machine to remove odours from the property’s interior / furnishings. This is subject to a minimum charge of £250 but we reserve the right to charge additional amounts to cover any damage caused by smoking. Anyone found smoking inside the property will be asked to leave the premises immediately, along with all other guests in their party.

12. Illegal substances

Consumption, sale or misuse of any illegal substances or associated paraphernalia classified under the Misuse of Drugs act (1971), will lead to an immediate eviction from the premises without any refund on the remaining stay. A standard charge of £500 will be charged to your card where we find evidence of illegal substances within the accommodation to cover responsible removal and additional cleaning costs, but we reserve the right to charge additional amounts should there be reasonable requirement to do so. Any evidence or suspicion of drug use on our premises will also be reported immediately to the police. In addition to this, any evidence of this nature will be given to the bank and or authorities if requested in case of any chargebacks.

13. Hot Take Away Food

It is important that rooms and furnishings remain clean and fresh for the benefit of all guests. Therefore, the consumption of hot take away food is not permitted in the bedrooms. However, guests are welcome to use the dining room for such meals and we will be happy to provide cutlery and plates if given advance notice. If we do discover evidence of hot take away food being eaten in the bedrooms, we will have no alternative but to charge the occupants a deep cleanse charge of £150.

14. Parking

Free car parking and the main entrance to Springfield House is at the rear of the property. Long term car parking (subject to availability) is charged at £5 per night. Cars and their contents are parked at their owners’ risk. Please ensure that cars are locked and possessions are left out of sight.

15. Dogs

We regret that we do not allow dogs (or any other animals) to stay at Springfield House.

16. Internet facilities

Internet facilities are provided by third party providers. Where these facilities are made available in Springfield House, the guest acknowledges that there may be disruption to the connection without prior notice and Springfield House shall not be liable whatsoever for such disruption. The guest further undertakes not to use the facility for any fraudulent purpose or in connection with any criminal offence or contravention of any licence and will indemnify Springfield House against any claim demand suit prosecution arising therefrom.

17. Discrimination

It is the policy of Springfield House not to discriminate on the grounds of race, colour, nationality, creed, sex, sexuality, marital status, age, ethnic origin or disability. Guests are expected to adhere to this policy and Springfield House may, without incurring any liability to the guest, remove from the premises any person or persons offending against this policy.

18. Behaviour/Noise

All guests are asked to respect our other guests and nearby residents when in their room, hallways, any other premises of the house or while in the surrounding area. Springfield House reserves the right to judge acceptable levels of noise or behaviour of guests who must take all steps for corrective action as requested by the owners. In the event that you fail to respect this policy, Springfield House reserves the right to eject you from the premises and cancel the remainder of your stay without being liable for any refund or compensation.

19. Liability

Springfield House does not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions. Items left in the guest fridge or any shared areas are at your own risk.

20. Privacy Policy

Any data collected during your booking may be held on computer. With your permission, we may from time to time contact you about promotions and offers. We will never share your details with third parties.

21.CCTV

The building and grounds are equipped with 24 hour recording CCTV in public areas for the safety and security of our guests and premises.

22. Complaints

Springfield House aims to ensure your stay with us exceeds your expectations and is great in every way. However, there may be occasions where we are unable to satisfy all our guests' needs, wants or tastes. We would request that you raise your dissatisfaction as soon as possible and allow Springfield House the opportunity to resolve any issues immediately, any complaints made after check out will not be entertained. We welcome all types of feedback and take every step to improve our services and get better every day.

23. Force Majeure

Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by or you otherwise suffer any damage or loss as a result of “force majeure”. In these Booking Conditions, “force majeure” means any event which we could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riot, civil strife, terrorist activity or actual threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire, epidemic, pandemic or contagious diseases and all similar events outside our control.

We reserve the right to assign or sub-contract any of our rights and obligations under this agreement without notice to you.

If any provision of this agreement is found to be unenforceable by a court of competent jurisdiction, the other provisions shall nevertheless remain in full force and effect.

This agreement is governed by the laws of England and the parties hereto submit to the non-exclusive jurisdiction of the English courts.
